Managing BSOG Service Codes
If you claim Bus Service Operators Grant (BSOG) mileage, tie each eligible trip to a service code and name that matches your registered local bus services.
OpenCommute does not submit BSOG claims for you. It helps you catalogue codes, require a code on flagged vehicles, and report mileage by service so records are ready when you prepare a claim.
Set up BSOG codes
- Go to Settings.
- Click BSOG codes.
- Click Add from library, tick every service code you want, then confirm to add them in one step — or click Create custom to define your own code and service name.
- For a custom code, enter a short Code, the Service name, and an optional Description. Use the same wording you use on PSV311E or internal service lists.
- Click Create (custom codes only).
Library entries copy code, name, and description into your organisation. You can edit the team copy later without changing the shared library.
You cannot delete a code while any booking still uses it. Change or clear bookings first.
Flag vehicles that need a code
- Go to Vehicles and open a vehicle.
- On Basic Information, turn on Requires BSOG service code for vehicles used on BSOG-eligible local bus services.
- Save.
When that vehicle is on a booking, staff must choose a BSOG code on the booking Details tab. Members booking in the OpenCommute app must choose a code before they confirm, when the selected vehicle is flagged. CSV booking import also requires a matching BSOG service code column value for flagged vehicles.
Assign a code on a booking
- Open the booking Details tab.
- When the vehicle requires a code, choose BSOG service code from your organisation’s list.
- Save.
If the vehicle does not require a code, the field is hidden and any previous selection is cleared when you change vehicle.
When importing bookings under Settings → Import data, map the optional BSOG service code column to your organisation’s short code (for example LOCAL). Rows for flagged vehicles fail without a matching team code.
Reports and stats
- Insights > Reports > Mileage — trip rows show the assigned BSOG service (or Missing when required but not set). Summary and By BSOG service code break down miles; filter by code when needed.
- Insights > Reports > Bookings List — each row includes the BSOG service assigned to the booking.
- Insights > Stats > Bookings — Booking issues includes Missing BSOG code; when you use BSOG codes, Recorded miles by BSOG service code charts recorded miles for flagged vehicles.
