Volunteer drivers on the staff list

Volunteers, staff drivers, trainers, and passenger assistants live on the person record. A missing, expired, or unsigned licence can block assignment.

Also when you schedule

  • Weekly hours

Once weekly availability is saved, a trip outside those hours cannot be assigned to that driver.

  • Requests and replies

Accept and decline links are stored on the activity log, including a reply that the driver is not available.

  • Repeat and buffers

Weekly or monthly series, and a buffer so the return sits after the original trip plus the gap.

Questions about volunteer driver software

Yes. One-to-one lifts, open shared routes, group hire, and blocked vehicle time are booking types on the same calendar. A mixed fleet stays in one place, including dial-a-ride software workflows.

The same driver cannot be saved onto overlapping trips. Booking buffers also keep a gap between jobs on a vehicle. Once weekly hours are saved, a trip outside those hours cannot be assigned to that driver.

Yes. Request emails include accept and decline links. The activity log records each send, a skipped send, and a reply that the driver is not available. See managing staff and volunteers.

Record end mileage on the completed booking, then create the invoice from that booking. You can email it to the member. Stripe and GoCardless can take card or Direct Debit payments when they are connected, and manual payments can be recorded too.
